What is Weyvox?

Weyvox is your business phone line with AI working on it: it answers your customers, takes orders and issues invoices. It is built for sole traders and small businesses. The line is a number (bought here or your own), the agent that works on it and a back office in one app: after a call you already have the customer, the order, the invoice and the reminder — and you can always take the conversation over yourself. The agent speaks on behalf of your business — from your working hours, your terms and your price list in “Business management” — calls on your behalf, writes documents and does the arithmetic. Personal chats with customers and with people work by phone number, free of charge.

Is Weyvox right for my kind of business?

It is built for businesses where the owner is also the person who picks up the phone. On first run you choose your business type from 16 ready-made profiles: concierge service, real estate, removals and transport, restaurant or café, shop, hair salon or barber, travel and tours, vet clinic, doctor or dentist, garage, construction and renovation, nails and beauty, cleaning, hotel or lettings, teaching and courses, appliance repair — or “Other”, and then the agent runs a short interview and fills the profile in itself. The pattern is the same everywhere: bookings and orders arrive by phone, and your hands are busy when they do. You can add up to ten team members to the line, and they close the orders you assign them. Weyvox is not built for call centres or support desks: the line rings one phone, and there is no call queue and no shared inbox.

What is free and what costs money?

Free: the app itself, personal chats (text, photos, videos, files, voice messages, location) and the first 5 GB of storage. Cloning your own voice is free too. Paid, from your balance: the AI agent (chat, calls, tasks), calls to phone numbers, texts to customers, storage above 5 GB and the one-time connection of your own business number. Three things carry a monthly fee: a Weyvox number — a monthly fee that depends on the country and the number and is shown before you buy (the first month is included in the purchase); a team member — €10 per month; storage above 5 GB — €0.10 per gigabyte. Neither the app nor the agent is sold by the month — there are two subscriptions and you choose both: a number and a team member. Everything else you pay for in minutes and actions, and only when you use them. Weyvox helps you get going: every new user receives €5 on their balance after signing up, and the first operator number comes with an extra €5 off.

Which devices does Weyvox work on?

Weyvox is an app for iPhone and Android. The iPhone version is already available on the App Store; the Android version is in development, with release planned for 1 October 2026. An account is active on one phone at a time: sign in on a new one and the old one is signed out, while your chats, balance, number and the agent’s memory appear on the new phone.

Sign-up and account

How do I sign up?

Enter your phone number — a text message with a verification code will arrive. The number proves the account is real, and it is how people find you in chats. After the code, enter your first and last name and tick two boxes on a single card: that you are 18 and that you agree to the rules. Date of birth, gender and a photo are optional, in your profile. Weyvox is for adults only: without the 18+ confirmation, sign-up does not go through.

Who is the administrator and who is a team member?

The administrator is the business owner: the person who signed up the usual way. The account, the line, the balance, the agent and every setting belong to them. A team member is an employee the administrator adds in “Business → Team”: they do not sign up at all — they log in with an access code and see only the orders assigned to them (see the “Team” category). The sign-in screen keeps the two roles apart: ordinary sign-up is for the administrator, and the link “I have a team member code” under the “Log in” button is for an employee.

How do I delete my account?

In “Settings → Account” choose “Delete account”. We delete your data, messages and media from the servers, release your operator numbers at the carrier, cancel the number subscription and remove every team member — their codes stop working; the app wipes local data as well. The action cannot be undone. If you no longer have the app, request deletion at weyvox.com/delete-account/ — we will make sure the number is yours and run the same process.

How do I protect my account from being hijacked?

Turn on a PIN: “Settings → Account → Security”. It is a six-digit code only you know. Until it exists, a code from a text message is enough to sign in — and a text can be intercepted or received on a re-issued SIM card. With a PIN, signing into your account from another phone requires the PIN as well, so the text code alone is no longer enough. When you turn it on you get ten one-time recovery codes — keep them away from your phone, on paper or in a password manager. ⚠️ Weyvox never asks for your PIN or your recovery codes — not in the app, not by email, not through the agent.

What does the app lock do, and does it protect my account?

The lock (“Settings → Account → Security”) locks the app itself on this phone: to open Weyvox, your biometrics are required (and if they fail, the device passcode). The switch is labelled with whatever your particular handset can do: Face ID, Touch ID or simply “Biometrics” — because not everyone has Face ID (on the iPhone SE 2/3 and iPhone 8 it is Touch ID, on Android it is usually a fingerprint). It protects you from someone who picks up your already unlocked phone. But it does not protect the account, and that is important to understand: biometrics are checked against whatever is enrolled on that particular handset, so on someone else’s phone the check simply passes for them. What protects your account from a sign-in on someone else’s phone is the PIN. The two features complement each other: the lock is for the phone in your pocket, the PIN is for the account behind it. For the switch to become available, biometrics must be set up in the phone’s own settings.

Your line and first run

What is the “Line” tab?

It is the administrator’s main screen — your phone line and everything happening on it. The header shows your number, the state of the line (“Agent answers after N s”), your balance and the auto-answer switch. Below it is the list: the Weyvox system chat with the agent’s events, threads for external numbers (each customer gets a thread of their own, with calls, agent notes and texts), personal chats with people, and “Saved Messages”. The “All / Calls / Unread” filters strip out the rest. A number’s thread has a button to call from the line, plus the customer and order cards — so you do not have to go looking for them in “Business”.

What is the first-run wizard and what does “Line ready: N of 4” mean?

After signing up, the administrator goes through four steps: 1) what you do — your business type from 16 ready-made profiles (or “Other”) and the business name; 2) the agent’s voice; 3) auto-answer — after how many seconds the agent picks up an incoming call; 4) your line — buy a Weyvox number, connect your own business number, or work without a number for now. Any step can be skipped (“Later”): the agent in chat, documents and “Business management” work without a number, but incoming and outgoing calls and texts to customers need a line. The “Line ready: N of 4 · Continue” card stays on the “Line” tab until every step is closed, and it opens the wizard at the first step you have not finished. The state is derived from your data, so anything you did in the settings counts too.

What is the weekly report?

Every Monday at 08:00 in your business’s time zone the agent sends a summary of the past week to the Weyvox system chat: how many calls there were, how many of them the agent took, how many were missed, how many texts were sent, how many orders were created and for what amount, what has been paid and what has not. If nothing happened during the week, no report is sent.

Phone numbers

What is the difference between my personal and my operator number, and why do I need an operator number?

Your personal number is your own number, confirmed with a code from a text message; you sign in with it and people find you by it in personal chats. The operator number is a separate number you buy in the app: that is your line. You call any phone from it, you receive incoming calls on it, the agent answers on it and texts to customers go out from it. For a business it is a work line inside the same phone you already carry — no second SIM and no second handset. The operator number has a purchase price and a monthly fee — both depend on the country and the number, both are shown in the app before you pay, and the first month is included in the purchase; personal chats do not need it.

How do I buy an operator number?

On the “Your line” step of the first-run wizard, or in “Settings → Line → Phone number”, pick a country and a number from the list. For some numbers the carrier requires documents to confirm your identity — you upload them right there. Payment is then taken from your balance (the connection fee together with the first month of service), and the number goes off to the carrier for activation, which is not always instant. After that, a service fee is charged for the number every month.

Why am I asked for documents when buying a number?

Some numbers require identity confirmation under the carrier’s rules — these are regulatory requirements (KYC). During the purchase the app shows exactly which documents or details are needed, and you upload them right there. Such a number cannot be issued without them, but many numbers require no documents at all.

Do I get a working number straight away, or do I have to wait for activation?

Straight away. For numbers that need documents, activation at the carrier is not instant, so as soon as you have paid we connect a temporary operator number. As a rule it is a number from a different country than the one you ordered: it keeps the line working rather than pretending to be your future number. It works fully — you can make and receive calls — for up to 25 days while the main number is under review. When the main number is approved it switches on automatically, and the temporary one is removed at that same moment, so you are never left without a number and never pay for two at once. Numbers that need no documents are activated directly, with no temporary one.

Can I cancel a number purchase, and will I get a refund?

Only you can end a number purchase — in the number section in Settings. Cancelling releases the number (and the temporary one) at the carrier and stops the subscription. Money already paid is not refunded: the carrier does not reject the request, and the temporary number worked from the first minute, so the service is considered delivered. Since top-ups themselves go through the App Store or Google Play, everything to do with your balance is governed by the rules of that store.

What is the number subscription?

An operator number requires a monthly service fee — it depends on the country and the number and is shown before you buy; that fee is the subscription, and it is charged from your balance automatically once a month. If there is not enough money, the number keeps working with a debt for another 30 days (we retry the charge every day), then outgoing calls from it are blocked for another 30 days while the number stays reachable and reserved for you. Pay at any point and the number is active again immediately; if there is no payment within 60 days, the number is released.

Can I work from my own business number?

Yes. You can connect your own business number without buying it from us and without porting it away from your carrier. Incoming: at your own carrier you set up forwarding from the business number to your Weyvox operator number — and the agent answers those calls, greeting people with your business name. Outgoing: we confirm that the number really is yours (a code by text or by call), after which your calls can show the other side the business number rather than the Weyvox one. You can enable both directions or only one. An active Weyvox operator number is required for the connection; forwarding you switch on and off yourself, at your carrier, not in the app. We recommend exactly this arrangement rather than a replacement: the business number stays with your carrier and on your business cards, and Weyvox answers its calls through forwarding. That way you risk nothing: turn forwarding off at the carrier and the line works exactly as it did before Weyvox. One limitation: texts to customers go out only from the Weyvox operator number, never from the business number.

How much does connecting my own business number cost?

It is a one-time fee (€5) charged from your balance the moment you request the confirmation code; there is no monthly fee for the connection itself, and the amount is shown on the very first step and on the payment screen. Resending the code to the same number is free. Forwarded minutes are paid to your own carrier at your own tariff — within one country that is usually free, which is why it is worth taking a Weyvox number in the same country. If you disconnect the business number and connect it again later, the connection fee is charged again.

Messages

What can I send in chats?

Text, photos, videos, files, voice messages and your location. Several photos or videos can go as a single album message. Every kind of message in personal chats is free.

How do I block or unblock a number?

Open the person’s profile and tap “Block” (or “Unblock” if they are already blocked). The full list is in “Settings → Account → Blocked numbers”, and you can unblock from there too.

Calls

How do calls work in Weyvox?

All calls go over the phone network: outgoing from your Weyvox operator number (or with your connected business number on the caller ID), incoming to that number. The other person does not need Weyvox — for them it is an ordinary call to their phone. You can dial from the keypad (“Settings → Keypad”) or with the call button in a number’s thread on the “Line” tab. Without an operator number, calls are not available.

How much does a call cost?

You pay the real cost of the call as billed to us by the phone carrier, plus our markup, which depends on the destination country. The money is taken from your balance after the call ends, once its exact cost is known, so it cannot be known in advance. Current indicative prices by destination are in “Settings → Account → Tariffs → Operator call”. A call the agent handles costs more: the agent’s work is added on top of the line (see “How much does using the agent cost?”).

What is the AI call note?

It is a short summary of your conversation (2–4 sentences) that the system prepares automatically after the call ends, based on the recording. The feature is paid per minute of the call, because it includes turning the conversation into text and processing it with AI. You can define what the note should contain, or turn the feature off entirely, in “Settings → AI call note”.

What does a customer see when the agent or a team member calls them?

Your business number: the Weyvox operator number or, if it is connected, your own business number on the caller ID. At the start of the conversation the agent introduces itself as your business’s AI assistant. ⚠️ A team member, for now, calls a customer with the phone’s own dialler — from their own number: the business line belongs to you, and calls by team members from it have not been built yet.

What can the Weyvox AI agent do?

The agent does the work, not just the talking: it answers incoming calls on the line, takes orders and bookings, confirms arrangements by text, calls the numbers you need on your behalf, runs multi-step tasks in the background, keeps your “Business management” in order (profile and price list, customers, orders, documents, analytics), remembers what matters about you and writes a short note after a call. When it needs to, it searches the internet. The agent can also produce DOCUMENTS: ask in the chat for an invoice, a completion certificate, a statement, a letter or a report — and it will draw up a real PDF that appears in the chat as a file straight away. It will just as readily draft any OTHER document — a contract, a quote, a receipt, a power of attorney — right there in the chat. Whatever it does not know (your legal details, amounts, the recipient’s data) it asks about instead of inventing. To change something, just say so in the chat: the agent rebuilds the document. Such a PDF is laid out on your phone, so creating it is free, and a copy is filed automatically in the archive at “Business → Business management → Documents”, where you can find it, reread it or delete it. One more thing: any arithmetic on your numbers the agent works out in code, and it can hand the result back as a file — a chart, an Excel spreadsheet, a Word document or a presentation (on every chat brain except the fastest, Haiku 4.5).

What is “Business management”?

It is where you run your whole business from your phone — the “Business” tab. “Business information” — the name, the business type (your niche), what you do, your price list, your working hours with exceptions, your terms, answers to customers’ frequent questions and what the agent may promise on its own: this is exactly what the agent speaks from with customers, and it quotes prices only from your price list. “Customers” — a database with history; when a customer calls, the agent recognises the number and greets them by name. “Customer orders” — a pipeline with stages named in the words of your niche, with a separate payment marker, dates, niche fields, an assigned team member and an event feed; the agent creates orders straight from a call. “Documents” — storage for contracts, invoices and licences: the agent reads each document once on upload, so afterwards you can ask it about any of them, and it will remind you about expiry dates 30, 7 and 1 day ahead. “Analytics” — revenue, debt, average order value, new customers, and separately the agent’s work: how many calls it took and how many of them became orders. “Team” — your members, their codes and their rights. The last row is “PDF templates”.

What does choosing a business type (niche) give me?

The business type — one of 16 ready-made profiles — tunes the app to your trade without you lifting a finger. First, a draft profile: a description, a skeleton price list, the questions customers usually ask, and the line between what the agent may promise on its own and what it leaves to you. Second, the order vocabulary: stages are named in the words of your niche (“Accepted → Picked up → Delivered” in transport, “Booked → Arrived → Done” in a salon), and so are the standard fields (“Pickup time”, “Check-in” or “Appointment time” instead of “Start”; “Where to” or “Site address”). Third, up to three custom order fields that your particular trade needs: car, plate and mileage at a garage; pet name, species and age at a vet clinic; from where, passengers and flight in transport. If you choose “Other”, the agent runs a short interview and fills the profile in itself. You can change your niche at any time: “Business → Business information → Business type”.

What happens to an order the agent created, and who marks it as paid?

Orders the agent creates on its own — from a call or from a chat — are marked “Not confirmed” until you confirm them in the app: the last word is always yours. Payment is marked by you as well, on the order card: the status, the amount paid and the payment method (cash, card, transfer and so on). You can dictate a payment to the agent, but only in your own chat with it; on a call with a customer the agent has no right to clear a debt on the other side’s word.

How does the agent choose a time for a booking or a pickup?

Before naming a time to a customer — a booking, a visit, a car pickup or a delivery — the agent checks the working hours from “Business information” (together with the exceptions) against the orders already scheduled, and offers free slots only. It never offers busy time and never invents anything: if there is no free slot on the day the customer wants, it says so and suggests another. The agreed time goes straight into the order.

What languages does the agent speak on calls?

Thirty-two. English, French, German, Spanish, Portuguese, Italian, Dutch, Polish, Czech, Slovak, Hungarian, Romanian, Bulgarian, Croatian, Greek, Swedish, Norwegian, Danish, Finnish, Turkish, Ukrainian, Russian, Arabic, Hindi, Tamil, Chinese, Japanese, Korean, Vietnamese, Indonesian, Malay and Filipino. The agent picks the language of each call itself: say it outright (“call them in German”) and that is what happens, and with no instruction it goes by the country of the number it is calling. The separate “AI agent language” setting — not the app language — works as a fallback for when the language cannot be determined.

Can the agent make a call for me?

Yes. You give it a task (“call the supplier and find out where the delivery is”, say, or “remind them about the unpaid invoice”), the agent shows a confirmation card, makes the call itself from your operator number, and then brings back the result and a short note. This needs an active operator number. It is a paid feature — charged from your balance as an agent call.

Can the agent answer my incoming calls itself?

Yes — that is auto-answer, and for a business it is the feature that pays for itself: the customer who calls while your hands are busy gets an answer instead of getting lost. It works on the Weyvox operator number and on calls forwarded from your business number. Turn it on with the switch in the header of the “Line” tab or in “Settings → Line → Agent auto-answer”, and choose how long the phone rings before the agent joins: 10, 20, 30 or 40 seconds (30 by default); outside working hours the agent can pick up immediately. When it is on, it applies to EVERY incoming call. You always have the right to answer first: the phone rings as usual, and only if you have not answered within that time does the agent take the call (and if you decline the call yourself, the agent answers straight away). It answers on our servers, so it works even when your phone is locked, offline or out of battery. On the call the agent introduces itself as your AI assistant, finds out who is calling and about what, helps, takes an order or a message, and after the call writes a note into the number’s thread; while the call is going on, you can open the app, listen in, whisper to the agent or take the conversation over. The same screen has the “Missed call → text the customer” switch. If your balance is negative, the agent does not answer calls (see the balance question).

Can the agent send a text to a customer?

Yes, in three cases. After a call — a text confirming what was agreed (time, address, amount), but only if the customer agreed to it during the conversation; your business name comes first, the text carries facts only, in the customer’s language. On a missed call — a short text saying you will call back, if the “Missed call → text the customer” switch is on in the auto-answer settings. And at your request in the chat — the agent writes a text to a customer from their card. The sender is your Weyvox operator number (texts do not go out from a connected business number). The price is per segment (160 Latin characters or 70 Cyrillic ones), roughly €0.15 per segment, no more than three segments; the exact price is in Pricing. Every text appears as a card in that number’s thread on the “Line” tab. A customer can tell Weyvox to stop writing to them and calling them at weyvox.com/optout/ — and then the agent does not write to them.

Can I hand a live call over to the AI agent?

Yes — on any call on the line. One button on the call screen gives the agent “the seat”: it starts speaking to the other side instead of you, while you stay on the line and hear everything. The other side hears only the agent. The same button gives the conversation back to you: your microphone comes on and the agent falls silent instantly, though it keeps listening and taking notes. Hand it back over and it carries on from the same place, without introducing itself again.

Can I say something to the agent during a call without the other side hearing?

Yes. While the agent is speaking you can talk to it, and the other side hears nothing. The agent does not interrupt itself — it finishes the current sentence and weaves your instruction into the next one, so “ask about the price” or “agree to Tuesday” simply changes what it says next. It does not answer you out loud, because everything spoken is heard by the other side; if your instruction needs no words right now, the agent stays quiet and simply acts. The microphone button during a call with the agent means the opposite: it closes that private channel, and the agent stops hearing you too.

What are “Agent tasks”?

These are multi-step assignments the agent carries out on its own in the background (collecting supplier prices, chasing a delayed delivery, or settling a matter over several steps). You see the progress and the result on the “Settings → Agent tasks” page, and a notification arrives when the task finishes or needs an answer from you. Complex tasks are billed by actual usage. The agent’s ability to make calls DURING a task is enabled separately: the “Calls during tasks” switch on the “Call permissions” page in its settings (off by default). When it is on, the agent calls on its own, one call at a time, with one specific goal per call, and it determines the other side’s language itself; such calls are entirely in the background (there is no call card and you cannot join the conversation), and you read a report on each of them in the task’s work log and in the final report. When it is off, the agent does not call but prepares everything for the call: the number, the opening hours, the language and the list of questions, so that you can call yourself or hand the call to it in the chat. The finished report can be taken out of the app as a PDF: the task menu (•••) has a “Create PDF” item, and the document is assembled either with every stage of the work or with the final reporting only. It opens in the app right away, and from there it is up to you — forward it, print it or save it to Files; every link in the PDF stays clickable. If the task is not finished yet, the PDF is assembled from what has been done so far.

What are “PDF templates”?

It is a page inside “Business management” (“Business → Business management → PDF templates”, the last row of the page), where your permanent details for the documents the agent draws up live. There is a template for each type: Invoice, Completion certificate, Statement, Report, Letter. A template holds only what does NOT change from document to document: who issues the document (name, tax number, address, email, phone), bank details where that type needs them, the numbering series, the note printed on every document of that type, who signs it, plus the logo, the SIGNATURE you draw with your finger right in the app, and the stamp. Everything variable — the customer, the line items, the amounts, the dates, the wording — the agent fills in from your request. The field sets DIFFER between types: an invoice has a VAT number and payment terms, a statement has no bank details but does have a place of issue, and a report is the shortest of all. The signature is stored as a vector, so it prints cleanly at any size; the stamp is uploaded separately as a PNG or SVG file — it goes on top of the signature, so it needs a transparent background. Invoice numbers are counted by the app itself: the template holds the series and the last number issued, and the next one is assigned at the moment of printing, so the sequence is never broken and never repeats. The PDF button on a template page prints an empty sample of the document so you can see how it will look. You can also create your OWN template: the “+” button in the header of the templates page — name it, describe when it applies, and add any fields of your own in any block; after that it is enough to ask the agent for that document by name. Custom templates are stored in the language you wrote them in, and the agent can fill them in and extend them at your request — but only you can create a new one.

What does the agent remember about me, and how do I clear it?

The agent can remember important facts about you so that it can be more useful and does not have to ask the same things every time. You can review and manage this memory on the “Settings → Weyvox AI agent → Agent memory” page, where you can also clear it completely. Each user’s memory is isolated and is used only for your own requests.

Can I change the agent’s voice or “brain”?

Yes. In “Settings → Weyvox AI agent → Agent voice” you can pick the voice it speaks with on calls — a ready-made male or female one, or a CLONE of your own voice (record a short sample and the agent speaks in a voice modelled on yours; it is yours alone, it can be deleted at any time, and it still tells the other side that it is an AI at the start of a call; the first voice clone is free, each further one €5). The “brain” (the model), however, is chosen for the CHAT with the agent only: Claude Fable 5 is the most powerful (and the most expensive) for the hardest jobs, Claude Opus 5 is the most capable, Claude Sonnet 5 is the balanced one, Claude Haiku 4.5 is the fastest. In TELEPHONY there is no choice: calls always run on Claude Haiku 4.5. That is deliberate — on the phone a pause is felt more sharply than depth of thought, so in a live conversation the smallest possible delay matters most. On a call the gap between the other person finishing and the agent starting to speak is usually from a few hundred milliseconds to about 1.5 seconds. In chat, a more powerful “brain” answers better but costs more for the same amount of work.

How much does using the agent cost?

The agent is not sold by the month — you pay for actual usage only, from your balance. Chat is billed by the amount of text the chosen model processes; an internet search, per search; an agent call is a minute of the line by country plus the agent’s work (around €0.30 per minute, with the exact amounts by destination in Pricing); a text to a customer, per segment. A month in which you did not use the agent costs nothing. Weyvox has only three monthly fees, and none of them is for the agent: the number (a monthly fee that depends on the country and is shown before you buy), a team member (€10) and storage above 5 GB. The exact cost of actions and models is in “Settings → Account → Tariffs → AI agent”.

Team

Who are team members and what is a team for?

A team member is your employee who carries out orders: a driver, a technician, a courier, a salon receptionist. You assign them to an order, they get a push notification and a message, they see what to do, and one button moves the order to the next stage (“Picked up” → “Delivered”); the change is visible to you immediately in the event feed, with their name on it. The line, the customers, the documents, the price list, the balance and the agent’s settings stay with you alone — a team member works inside their own narrow window. It is all managed in “Business → Team”.

How do I add a team member?

“Business → Team → Add a team member”: enter their first and last name, optionally a phone number as a note for yourself, and set their rights. The app issues an 8-character access code — pass it to the person through whatever channel suits you. The team member does not sign up: on the sign-in screen they tap “I have a team member code”, enter the code, and see their own tabs straight away.

What is a team member’s access code, and what if it ends up in the wrong hands?

The code is the member’s login and password in one: 8 characters that keep working until you reset them or remove the person from the team. A new phone asks for the code again, and you get a notification about every such sign-in. If the code has been compromised, or the member has changed phones, reset the code on their card in “Team” — the old one stops working immediately, while the person’s history and assignments are kept; then pass on the new code. Removing someone from the team ends their sessions and disables the code for good, and their assigned orders are freed; the sub-account itself stays closed — only the person themselves can delete it, via “Leave the team”.

How much does a team member cost, and where does their spending come from?

€10 per month for each team member — from the administrator’s balance, at the member’s first sign-in and monthly after that. If the balance falls short, the member keeps working as usual for another 7 days, then switches to read-only until the charge goes through; you can remove them from the team at any time. A team member has no balance of their own: everything they spend — the agent, calls to customers — is charged to your balance and shown in “Settings → Balance & usage” with the name of whoever spent it. The member themselves sees only their own spending, in “Settings → My usage”.

What rights can I give a team member?

Three, and each takes effect the moment you change it. “Sees prices” — without it, the amounts in orders are hidden. “Marks payments” — without it, the member neither sees nor changes the payment status. “Uses the agent” — on by default; without it, the Weyvox tab does not work for them.

What does a team member see in the app?

Four tabs. “Chats” — the Weyvox system chat with their own assignments, plus personal chats. “Weyvox” — an agent that knows only the orders assigned to this member: no purchases, no balance, no agent settings. “Orders” — only the ones assigned to them, with a single “next stage” button in the words of your niche. “Settings” — language, notifications, “My usage”, log out and “Leave the team”. They do not see your customer database, documents, price list, line or analytics. A team member cannot call from the business line yet: tapping a number in an order opens the phone’s own dialler.

How many team members can there be, how do I remove someone, and what can a team not do?

Up to ten team members per administrator. You can remove a member at any time on their card in “Team”: the code stops working, their sessions end, their orders are freed and the charge for the seat stops; the person gets a message about it. The sub-account stays closed at that point — only the team member themselves deletes it completely, via “Settings → Leave the team”. So that there are no surprises, here is what does not exist: the line does not ring several phones at once, there is no separate number per member, and communication between the administrator and a member goes through assignments and system messages rather than a separate personal chat.

Balance and payments

How do I top up my balance?

Open “Settings → Top up balance” and choose an amount — payment goes through the App Store or Google Play. Money is taken from the balance only for paid actions: calls, texts, the AI agent, the number, team members and storage above the free allowance.

Where do I look at the prices?

Open “Settings → Account → Tariffs”. Prices are grouped by feature: operator call, AI agent, texts, AI note, memory and storage. There are no third-party service names there — all the prices are our own.

What happens if my balance reaches zero or goes negative?

Personal chats keep working exactly as before. Paid actions — calls, texts, the AI agent — are paused until you top up. For the line that means the agent will not answer automatically while you are in the red: an incoming call still rings as an ordinary call, you can pick it up yourself, and if you do not, it is an ordinary missed call. At the moment the agent would have answered, a message asking you to top up arrives in the system chat, and an attempt to hand a live call to the agent shows a top-up prompt. The monthly fees have buffers of their own: the number keeps working with a debt for 30 days, then for another 30 days it still receives calls but cannot place them; a team member works for another 7 days, then only reads until the charge goes through. As soon as the balance is back at zero or above, everything works again automatically.

Can I get a refund from my balance?

Since top-ups go through the App Store or Google Play, refunds are governed by the rules of that store. Money already spent on services (calls, the agent, texts, storage) is not refundable.

How much storage is free, and what happens beyond that?

The first 5 GB of storage are free. Beyond that, €0.10 is charged for each whole gigabyte per month, and partial gigabytes are not billed. For example, if you are using another 4.8 GB above the free 5 GB, you pay for 4 GB only (€0.40).

Privacy and data

Where is my data stored and what protects it?

On servers in the European Union. In transit between your phone and the server everything goes over TLS, on the storage provider’s disks the data is encrypted, and access to it is limited by policy. What lives on the server: your profile, personal chats and media, the system chat, your conversations with the agent and its memory, business records (customers, orders, documents, templates), call and text history, your balance. Weyvox staff do not read your data — the only exceptions are a lawful request or a support enquiry you raised yourself. The agent reads exactly what it needs in order to work: your business profile, your customers and orders, the documents you gave it, and personal chats if access to them is enabled.

Are my messages encrypted?

In transit — yes (TLS), and on the provider’s disks — yes. But Weyvox does not encrypt personal chats with a key that exists only on your phone: messages are stored on the server in readable form, protected by access controls. That is precisely why your history comes back when you sign in from a new phone, and why the agent can read a conversation when you ask it to. Calls go over the phone network, so the carrier, as in any call, sees the numbers and the duration.

Are my documents, customers and agent chats encrypted?

Yes — with Weyvox’s own key, at the application level (AES-256-GCM), before they even reach the database or file storage: business documents and their text, customer cards, orders and the event feed, the agent’s memory, the server copy of your chats with the agent, and KYC files. The key lives only in our server configuration, so a raw dump of the database or of the storage bucket is unreadable without it — protection against leaks and against access on the provider’s side. It does not hide the content from the agent itself, and that is by design: it has to read a document in order to answer questions about it. To stop the agent reading a particular document, use the switch on that document.

Why does an account work on only one phone, and what happens if I change phones?

One account is active on one phone at a time: sign in with your number on a new phone and the old one is signed out automatically. There is nothing to transfer: chats, balance, the operator number, the agent’s memory and business records live on the server and appear on the new phone after you sign in. A lost or broken phone therefore does not mean lost history. To stop anyone else signing in with your number, turn on a PIN (“Settings → Account → Security”).

How long is my data kept?

It depends on what the data is. Personal chats and media — until you delete them yourself or delete the account. Your business records — customers, orders, documents, templates — belong to you: they are kept until you delete them yourself (or delete the account) and never disappear on their own. The server copy of your chats with the agent also lives as long as the account does (the service marker for a deleted chat is erased after 90 days). About a team member, Weyvox keeps the first and last name, the optional phone note, a fingerprint of the code, a device identifier and sign-in times — for as long as they are on the team. Working leftovers are deliberately short-lived: transcripts of agent calls are deleted after 24 hours; a copy of a file held at the AI provider for reading — up to 24 hours; KYC documents — 24 hours after the number is activated; delivered agent reminders — after 30 days; the chat synchronisation log — 90 days; a cached contact name with no calls for 12 months is deleted. Deleting the account erases everything at once.

How do I report abuse or unwanted messages?

Write to support@weyvox.com — describe what happened and attach screenshots if you have them. There is no separate report button in the app. You can block an unwanted contact from their profile — their messages and calls will no longer reach you. For breaches of the Terms of Use, Weyvox may restrict or close an account.
